Job Description

Production - Operations

  • Coordinate provision of translation, interpreting and associated services, including DTP, multimedia productions and community approved translations.
  • Liaise with sales staff to clarify project parameters, resources, budgets and timelines.
  • Conduct needs assessments for each project, identifying needs for additional information.
  • Establish and maintain project plans, processes, workflows and timelines relating to projects.
  • Monitor and control project status, budgets and deadlines, managing full life cycle of projects.
  • Maintain project records and documentation.
  • Prepare, update and maintain project documentation, including all databases, CRM, and electronic folders.
  • Perform quality checks at various stages of projects. Ensure highest quality standards in all deliverables to clients.
  • Negotiate deadlines and rates with vendors, ensuring that Polaron's commercial interests form basis for all such negotiations with the minimum standard of project budgets attained or bettered.
  • Manage project timelines ensuring complete delivery within set times.
  • Oversee work performed by vendors and report on variations to translation/interpreting orders.
  • Provide efficient and friendly customer service, responding to enquiries (20 minutes email reply) and resolving matters concerning projects with clients and vendors.
  • Conduct evaluations and prepare reports. Develop and implement improvement strategies.

Sales, Marketing and Business Development

  • Support Sales team in developing relationships with prospective clients allowing to convert from lead/enquiry to sale.
  • Identify possible synergies with providers whose services may complement the organization's and make proposals to Sales team and management.
  • Actively support Sales team in reaching monthly sales targets.
  • Cross-sell by providing information and marketing materials to clients on the range of services offered by Polaron.
  • Maintain healthy relationships with clients through effective customer service and the quality of Projects delivered.

Skills and experience

  • Strong verbal and written level of English (fluency in additional languages highly regarded).
  • Ability to communicate accurately detailed instructions to multilingual vendors.
  • High level of proficiency in Microsoft Office and Adobe software.
  • Able to solve problems and to develop solutions which are cost-effective and practical.

The Successful Applicant

Qualifications

  • Ideally tertiary educated in Linguistics, Translations, Project Management, or related field.

Experience

  • Demonstrated experience coordinating office administration activities.
  • Knowledge of translation technologies, project management software or translation memory would be a distinct advantage.
  • Experience in project management role, operating in a direct client service delivery environment would be highly regarded.
